eSNAP DIRECTIONS (FOR ASSISTANTS)

ASSIGNING AN ASSISTANT
A PI May assign AN ASSISTANT to edit a PI eSNAP & Personal Profile (PPF):
  • The assistant must be registered. Contact Jo Anne Painter (jpainter@umich.edu) to register the designated assistant. ** Note: It will take NIH a couple of days to do this.
  • After registering assistant, PI MUST THEN LOGIN TO THEIR ACCOUNT TO ASSIGN THE ASSISTANT
    Login to the COMMONS eRA page at: https://commons.era.nih.gov/commons

  • Enter PI Username and Password
  • Select Administration | Accounts | Change Password to access the Change Password screen .
    • Note: The password is case-sensitive.

  • Select Administration | Accounts | Delegate PI
    • select your assistant from the list of current users & click "assign" to open the delegate PI confirmation page, then click "save"
      (repeat for additional assistants)
  • Select Administration | Accounts | Delegate PPF Edit
    • select your assistant from the list of current users & click "assign" to open the delegate PPF confirmation page, then click "save" (repeat for additional assistants)

    Note: Cannot double-click on the selected name(s), but must click on the "SAVE" button

  • Select Status
    • select Status to view/export/query all grants, if desired
  • Select eSNAP (the Assistant may also do this step)
    • The Initiate option is available for eSNAP reports with a status of Not Started.
    • Click the "Initiate" button at the bottom of the screen to change the status of the eSNAP to Principal Investigator Work in Progress (WIP). Both the PI and ASST may initiate a report.
  • Log out

ASSISTANT MAY THEN LOGIN TO THEIR OWN PROFILE AT THE COMMONS PAGE
Log in at: https://commons.era.nih.gov/commons
  • Enter your Username and Password
  • There are 2 sections you may want to complete:
    • Administration (to change your password)
    • Personal Profile (to edit your own personal information so that it shows up on the PI's eSNAP)
  • Click on the ? that follows each header for online help and explanations

  • TO CHANGE THE ASSISTANT'S PASSWORD:
    • Select Administration | Accounts | Change Password
      • follow onscreen instructions regarding standards

    TO EDIT THE ASSISTANT'S PERSONAL PROFILE
    The Personal Profile menu allows you to view and update your personal information Sum We recommend completing at minimum the directory information so that it appears on the PI's profile when you are added as the assistants

    • Select Personal Profile | Personal Information (etc.)
      • your name will appear first on the pull-down list
      • select your own name in order to make the changes to your profile
      • NB An asterisk * following a field indicates a required field
      • View, edit or complete your selected required fields
      • when finished with each screen, click "submit" "reset" or "cancel" button

    TO EDIT THE PI'S PERSONAL PROFILE
    The Personal Profile menu allows you to view and update the PI's personal information    These fields are populated by NIH, so must be reviewed carefully
    • Select Personal Profile | Select Profile to Edit
      • your name will appear first on the pull-down list
      • select the PI's name in order to make the changes to their personal profile
    • Select Personal Profile | Personal Information (etc.)
      • Note: Only complete the fields with the red asterisk *
      • View, edit or complete the required fields
      • When finished with each screen, click "submit" "reset" or "cancel" button
    • These are the sections to review, complete or revise:
      • Personal Information
      • Race/Ethnicity
      • Employments (Note: only list current employment; select "non-federal" designation
      • Reviewer Address (DO NOT COMPLETE)
      • Residential Address (OPTIONAL)
      • Degrees
      • Publications (Add ONLY those associated with the eSNAP)

    TO EDIT THE PI'S eSNAP
       **Note: This will take a few minutes to load

    • Select eSNAP | Grant List (Manage eSNAP)
    • eSNAP | Manage eSNAP

    • Select the hyperlink for the desired grant to open the eSNAP menu, and it will automatically open the Manage eSNAP screen and list the eSNAP Menu
    • the eSNAP Menu page opens and lists basic information for the selected grant, and also the status of the required fields:
      • Upload Science
      • Performance Sites (Edit Business section)
      • Key Personnel (Edit Business section)
      • Research Subject (Edit Business section)
      • SNAP Questions (Edit Business section)
      • Inclusion Enrollment (Edit Business section)
    • A red asterisk * following a field indicates a required field

    • Initiating an eSNAP Report
    The Initiate option is available for eSNAP reports with a status of Not Started. Click the "Initiate" button at the bottom of the screen to change the status of the eSNAP to Principal Investigator Work in Progress (WIP). Both the PI and ASST may initiate a report.
    Note: An eSNAP can be initiated even if required information in the Personal Profile and Institution Profile sections is missing. If any of this information is incorrect or missing, you are prompted to correct/complete the information after initiating the grant. Processing may continue on the eSNAP without making the corrections. However, the eSNAP will not pass validation for submission to the NIH until the errors are corrected.

    eSNAP : : EDIT BUSINESS
    • **Be sure to click on the "Save" button to save screen changes AND the "Designate as Complete" button when you have no further changes (can go back & make changes as often as you like, but use the "Complete" button when you're finished**
    • Select eSNAP | Edit Business
      • The Edit Business hyperlink lets you view and edit information about the eSNAP grant
      • We recommend completing the Business section first (if there are any explanations the text can be included with the Progress Report file in the "Upload Science" field
    • Select eSNAP | Edit Business | Org Info
      • NB Annual % Effort indicates for the project itself
      • NB Be sure to select the Administrative Official (Terri Maxwell) and Signing Official (James Randolph) from the pull-down menu at the bottom of the screen

    • Select eSNAP | Edit Business | Performance Site List
      • Add NEW sites at the top of the screen, edit or delete existing sites at the bottom of the screen
      • Note: UM is assumed, so only add others
      • click Save & New to save entered information

    • Select eSNAP | Edit Business | Key Personnel List
      • Note: Annual % of Effort indicates for the project itself, and may not be 0% (those people can go into a text report with a note in the box to that end)
      • only include KEY NEW people, not consultants, fellows, etc. These are people involved in scientific decision making as opposed to operations decision making.
      • click Save & New to save entered information

    • Select eSNAP | Edit Business | Research Subject
    • Questions to answer:
      • Does the proposal involve human subjects?
      • Has the involvement of human subjects changed since the previous submission? Select Yes if the involvement has changed and discuss these changes in your progress report.)
      • Is the research exempt? Select Yes if the activities are exempt and insert the exemption number. Select No if not exempt, and complete the remaining sections.
      • Human Subject Education Enter the human subject education information if there are new key personnel involved and include a brief description of the education completed in the protection of human subjects. Note: If the human subjects research is exempt under exemption #4 this documentation is not required.
      • Does the proposal involve animal subjects?
      • Has the involvement of animal subjects changed since the previous submission?
      • The Assurance # is listed if your organization has an approved Animal Subjects Assurance on file.
    • click Save & New to save entered information

    • Select eSNAP | Edit Business | SNAP Questions & Checklist
    • The SNAP Questions & Checklist Page (ESP7018) lists questions relating to the following categories:
      • Key personnel and budget
      • Inventions and patents
      • Program income
      • Facilities and administration (NB unless the project has moved off or on campus, leave this field blank)
    • Note: If the justification/explanation is long, put a note in the box that the text will be included with the Upload Science file
    • click "Done" or "Cancel"
    • Select eSNAP | Edit Business | Inclusion Enrollment
    • Hyperlinks are provided to the required reports.
    • You can enter cumulative enrollment of subjects to-date and their distribution by sex/gender and ethnicity/race directly into eSNAP. Two different report forms of the Inclusion Enrollment report are available, and the eSNAP system uses your information to determine which report is viewed.
    • Note: If activities involving human subjects were performed at any time during the preceding budget period, the population data must be reported in the Inclusion Enrollment section. This applies whether or not the activities are exempt from the Federal regulations for the protection of human subjects and whether or not the activities were performed at either the applicant organization or at any other performance site or collaborating institution.
    • Note: If "YES" was checked on the Research Subject screen, and an automatic screen does not appear for the inclusion enrollment, append that text at the end of the Word file for the Progress Report on the Upload Science Screen. Label it as "Inclusion enrollment."

    eSNAP :: UPLOAD SCIENCE
    • **Be sure to click on the "Save" button to save screen changes AND the "Designate as Complete" button when you have no further changes (can go back & make changes as often as you like, but use the "Complete" button when you're finished**
    • Select eSNAP | Upload Science
      We recommend completing this section last, including any info from other fields that won't fit
        Fields are:
      • Progress Report file (required)
      • Research Accomplishments File (optional, "nuggets" of what PI has accomplished)
      • Other (optional, information that wouldn't fit in explanatory boxes, mentor letter, etc)
      • Publications (if any are applicable)
    • Note: Before uploading any information to the Progress Report File, it's necessary at this time to combine them into one document (it's suggested to separate each section, e.g. Progress Report, Enrollment Table, Mentor Letter etc.), and undo all formatting
    • Note: Files can be uploaded as Microsoft Word (*.doc), text (*.txt), or Adobe Portable Document Format (*.pdf) and are always stored in the system in PDF.
    • Note: If publications are already listed, check only those that apply to this grant, otherwise just add pubs that apply to this grant. In order to add publications in this section the Assistant MUST be delegated to the PI's Personal Profile as well as to the eSNAP.
    • From the Upload Science page, click Import next to the desired file (progress report or research accomplishments) to open the Upload File page

    • Type the file name or click Browse to locate the file to be uploaded. Click Upload File to attach the file to the eSNAP. The file is given a temporary status of Pending until the upload is complete and the status is changed to Completed.

    eSNAP :: VALIDATE eSNAP REPORT

    Validate the eSNAP to check all the required data fields in the work in progress (WIP). The system displays error messages for each field with incorrect or missing data.

    Note: An eSNAP can be validated at any time once its status is WIP and it can be validated multiple times to check for completeness.

    • Select eSNAP | Manage eSNAP | View eSNAP Report (at the bottom of the screen)
      • Will generate a PDF file of the entire grant report on your desktop for sending around for final reviews.
    • Select eSNAP | Manage eSNAP | Validate (at the bottom of the screen)
      • Will give you either a list of questions that still need to be answered, or a message that all is OK
      • Can print this off for reference
    • Select eSNAP | Manage eSNAP | View Routing History (at the bottom of the screen)
      • Lists who has reviewed the selected eSNAP

    SUBMITTING THE eSNAP
    Note: The assistant may not route or submit the eSNAP. Only the PI or SO may do this. At this time the PI must first be delegated by DRDA to do so.
    LOG-OUT WHEN FINISHED
